Introduction
TEF is committed to protecting your privacy and handling your personal information responsibly. This Privacy Policy explains how we collect, use, store, share and protect your personal information when you access our website or engage with our services, whether you are based in the United Kingdom or elsewhere in the world.
By using our website and services, you agree to the collection and use of your information as described in this Privacy Policy.
Information we collect
Depending on how you interact with TEF, we may collect the personal information you voluntarily provide when you contact us, subscribe to our newsletter, book a consultation, register for an event or programme, purchase our services, or complete forms on our website. This information may include your name, email address, telephone number, organisation, and any other information you choose to share with us.
When you visit our website, we may also automatically collect certain technical information, including your browser type, device information, IP address, website usage data, and information collected through cookies and similar technologies.
Information we collect about young people (IFC Programme)
Where TEF delivers programmes for young people — including the Innovated Futures Cohort (IFC) — we and our delivery partners collect the personal information needed to run the programme safely and effectively. This may include a young participant’s name, date of birth, school or educational setting, and information relating to their participation and progress on the programme.
Where a participant is under the age of 18, we require verifiable parental or guardian consent before collecting or processing their personal information, in line with the ICO’s expectations for children’s data. Parents and guardians may contact us at any time to review, amend or withdraw consent for their child’s data.
Where the IFC is delivered in partnership with other organisations, including ExelAcademy, the parties agree between themselves how participant data is handled and who is responsible for it, and this is reflected in our partnership agreements.
How we use your information
We use the information we collect to respond to your enquiries, process bookings and payments, deliver our consulting, professional learning, workshops and other services, communicate with you about your requests, and send newsletters, updates and information about our services where you have chosen to receive them.
We also use technical information to understand how our website is used, improve its performance, enhance your experience, measure the effectiveness of our marketing activities, and meet our legal, financial and regulatory obligations.
We do not sell your personal information to third parties.
Lawful basis for processing
We process your personal information only where we have a lawful basis for doing so under the UK General Data Protection Regulation and the Data Protection Act 2018. Depending on the circumstances, this may include:
- Contract — to deliver a service you have booked or purchased from us.
- Consent — for newsletter sign-up and, where applicable, for the personal information of young participants.
- Legitimate interests — to respond to enquiries, maintain and improve our website, and develop client relationships, balanced against your rights and interests.
- Legal obligation — to meet our accounting, tax and regulatory duties.
International data transfers
As a UK-based organisation, we primarily store and process personal information within the United Kingdom. TEF also works with international clients, collaborators and delivery partners, including in the United Arab Emirates, Malaysia, Portugal, Latvia, Germany and elsewhere.
Where personal information is transferred outside the UK — including to service providers such as Google Workspace, which may process data in the United States — we rely on one or more of the following safeguards:
- The UK’s International Data Transfer Agreement (IDTA), or the UK Addendum to the EU Standard Contractual Clauses
- A UK adequacy regulation confirming the destination country provides an adequate level of protection
- Another safeguard recognised under UK data protection law
You can request further information about the specific safeguard used for any given transfer by contacting us using the details below.
Data retention
We keep personal information only for as long as it is needed to fulfil the purpose for which it was collected, or where we are required or permitted to retain it by law. As a guide:
- Client and financial records are retained for six years from the end of the relevant tax year, in line with UK tax law.
- Newsletter and marketing contact details are retained until you unsubscribe, plus a short period to process that request.
- Programme and workshop participant records, including IFC youth participant data, are retained for the duration of the programme plus a limited period afterwards for safeguarding and evidencing purposes, after which they are securely deleted.
You may request the deletion of your personal information at any time. We will consider all such requests in accordance with applicable data protection laws and any legal or regulatory obligations that require us to retain certain information.
Keeping your information secure
We take appropriate technical and organisational measures to protect your personal information from unauthorised access, misuse, loss, alteration or disclosure. While we work hard to keep your information secure, no method of transmitting or storing information electronically can be guaranteed to be completely secure, and we cannot guarantee absolute security.
Data breach notification
While we take reasonable measures to protect your personal information, no system is entirely immune from security risks. If a personal data breach occurs and notification is required by law, we will notify the appropriate authorities and affected individuals in accordance with applicable data protection laws.
Third-party links
Our website may contain links to third-party websites or services for your convenience. TEF is not responsible for the content, privacy practices or policies of those websites. We encourage you to review their privacy policies before providing any personal information.
Marketing communications
If you choose to subscribe to our newsletter, we do so on the basis of your consent, given at the point of sign-up. Where you are an existing client, we may also contact you about similar services under the “soft opt-in” provisions of PECR, and you may opt out of this at any time.
You can unsubscribe from marketing communications at any time by using the unsubscribe link included in our emails or by contacting us directly.
Your privacy rights
Under UK data protection law, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Request the deletion of your information
- Restrict or object to our processing of your information
- Request a copy of your information in a portable format

You also have the right to lodge a complaint at any time with the Information Commissioner’s Office (ICO), the UK’s independent regulator for data protection, at ico.org.uk/make-a-complaint, or by calling 0303 123 1113.
Children’s privacy
TEF’s website and general consulting services are intended for educators, professionals, organisations and adults. We do not knowingly collect personal information directly from children through our general website without appropriate parental or guardian consent.
Where TEF delivers programmes designed for young people, such as the IFC, the specific arrangements set out under ‘Information We Collect About Young People’ above apply. If you believe a child has provided personal information to us outside of an appropriate consented programme, please contact us so that we can take appropriate action.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements or business practices. Any changes will take effect when the updated Privacy Policy is published on this website, and the ‘Last Reviewed’ date at the top of this page will be updated accordingly. We encourage you to review this page periodically.
